Privacy Policy
Last updated: July 1, 2026
This Privacy Policy explains how Reformation Counseling Center LLC (“Reformation Counseling Center,” “we,” “us,” or “our”) collects, uses, and shares your personal information when you visit our website at https://reformationcounselingcenter.com (the “Site”), request a consultation, schedule an appointment, or otherwise interact with us. Our principal place of business is 19590 E. Main St., Suite 200, Parker, CO 80138.
If you have any questions about this Policy or about how we handle your personal information, please contact us at privacy@reformationcounselingcenter.com or 720-915-2485.
This Policy covers our marketing website only. It is not our HIPAA Notice of Privacy Practices. If you become a client of the practice, the information in your clinical record is protected under HIPAA and Colorado law, and you will receive our Notice of Privacy Practices through our secure client records system when you onboard. This Site is where you learn about us and reach out; it is not a portal to your records, and no clinical information is stored here.
Summary of Key Points
What information do we collect? Mostly the information you give us when you request a consultation or schedule an appointment — your name, contact details, and a general sense of what you are looking for help with. We also collect some technical information automatically when you visit the Site. See Section 1.
Do we collect sensitive personal information? We ask you not to send it. Our forms are for contact details and a brief note about what you need. Please do not submit detailed health histories, medication lists, or records from another provider through the Site. See Section 1.
Do we sell your personal information? We do not sell personal information for money, and we never have. Our website advertising and analytics tools may qualify as a “sale” or “sharing” of personal information under some state privacy laws, and you can opt out — see Sections 5 and 11.
Who do we share it with? A small number of service providers who help us run the practice, and only as described in Section 3.
Text messages. If you give us your mobile number and opt in, we may text you about scheduling and appointments. We do not sell or share your mobile information with anyone for marketing. See Section 4.
Is this our HIPAA notice? No. Clients receive our HIPAA Notice of Privacy Practices through our client records system at onboarding. This Policy governs the marketing website.
Your rights. Depending on where you live, you may have rights to access, correct, or delete the personal information we hold about you. See Section 9.

1. Information We Collect
Information you give us directly
When you submit a contact form, request a free consultation, schedule an appointment, call us, or otherwise communicate with us, we collect the personal information you choose to provide. Depending on the context, this may include:
- Your name
- Your phone number, email address, and preferred contact method
- The city or area you live in, so we can confirm we can serve you
- A general description of what you are looking for help with, and which counselor or service you are interested in
- Scheduling preferences and availability
- Any other information you choose to include in your message to us
Please keep web forms brief and general. Tell us your name, how to reach you, and in broad terms what you are looking for. Do not send detailed symptom histories, diagnoses, medication lists, or records from another provider through the Site or by email — those belong in a confidential conversation or in our secure client records system once you are a client.
We do not ask for, and you should not send us, financial account numbers, Social Security numbers, or insurance ID numbers through the Site.
Information collected automatically
When you visit the Site, we and our third-party providers may automatically collect limited technical information, including:
- Your device type, browser type, and operating system
- The pages you visit and how you interact with them
- Approximate location derived from your IP address (typically at the city or region level)
- The website, search term, or advertisement that referred you to us
- Date and time of your visit
This information is collected through cookies, pixels, and similar technologies. See Section 5.
Information from third parties
We may receive limited information from third parties — for example, when someone contacts us through our Facebook or Instagram page, when a referral source passes along your name with your permission, or when an advertising platform reports that a form was submitted through one of our ads.
2. How We Use Your Information
We use your information to operate the practice and respond to you, including to:
- Respond to your inquiry and answer your questions about our services.
- Schedule and confirm your free consultation call or your first appointment.
- Match you with a counselor whose specialty, availability, and approach fit what you are looking for.
- Communicate with you about scheduling, rescheduling, appointment reminders, and intake paperwork.
- Refer you elsewhere when we are not the right fit, are at capacity, or cannot serve your location.
- Provide administrative support and follow up on questions or concerns.
- Send occasional informational or promotional messages about our services, groups, and mental health resources, in accordance with your preferences and applicable law.
- Improve the Site and understand which of our services people are looking for, in aggregate.
- Measure whether our advertising is reaching the right people.
- Comply with legal obligations, resolve disputes, prevent fraud, and protect our rights and the safety of others.
Once you become a client, information about your care is maintained in our secure client records system and is governed by HIPAA, Colorado law, and the Notice of Privacy Practices you receive at onboarding — not by this Policy.
3. When and With Whom We Share Information
We do not sell your personal information for money. Apart from the advertising and analytics tools described in Section 5, we share it only in the following limited circumstances:
- Service providers. We use a small number of trusted vendors who help us operate the practice — our website host, our scheduling and client communication platform, our client records system, our payment processor, our email and SMS providers, and our analytics providers. These providers are only authorized to use your information to perform services for us, under written contract. Vendors that handle protected health information also sign a business associate agreement.
- Our counselors. Information you submit is shared internally with the counselor or intake staff who needs it in order to respond to you.
- Legal requirements. We may disclose information when we believe in good faith that it is necessary to comply with a subpoena, court order, or other legal process, to enforce our Terms, to protect our rights, or to protect the safety of any person.
- If information you send us indicates that you or someone else is in immediate danger, we may share what is necessary with emergency services in order to help.
- Business transfers. If we sell or transfer all or part of the practice, client and contact information may be transferred as part of the transaction, subject to the protections required by law. Text-messaging opt-in data and consent are excluded from any such transfer and will not be shared with any third party.
Other than the advertising and analytics disclosures described in Section 5, we do not share your personal information with third parties for their own independent marketing purposes.
4. Text Messaging and SMS
If you provide your mobile number and opt in, we may send you text messages about your consultation request, appointment scheduling and reminders, and — if you separately opt in to marketing messages — occasional informational and promotional messages about our services.
Consent is not a condition of receiving services. You can decline text messages and still become a client. We will simply reach you by phone or email instead.
Message frequency varies. Standard message and data rates from your carrier may apply.
Opting out
You can opt out at any time by replying STOP to any message. We also honor UNSUBSCRIBE, CANCEL, END, and QUIT. You may also call us at 720-915-2485 or email privacy@reformationcounselingcenter.com. Reply HELP to any message for assistance. Opting out will not affect your care.
No sharing of mobile data
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Opt-in data and consent data sharing is limited to aggregators and providers of the text message services.
Text messaging is not confidential
Text messaging is not a secure channel. Messages can be seen by anyone with access to your phone and travel across networks we do not control. We keep our texts to scheduling and logistics, and we ask that you do the same. Never use text messaging for an emergency. If you are in crisis, call or text 988 to reach the 988 Colorado Mental Health Line, chat at 988colorado.com, or call 911.
5. Cookies, Analytics, and Tracking Technologies
We use cookies, pixels, and similar technologies on the Site to:
- Keep the Site and its forms working properly and securely
- Remember your preferences across visits
- Understand how visitors use the Site so we can improve it
- Measure the effectiveness of the advertising we run
Analytics
We use Google Analytics to understand how visitors interact with the Site, including which pages they read, how long they spend, and which campaigns brought them to us. Google Analytics masks IP addresses automatically. To opt out of being tracked by Google Analytics across all websites, visit https://tools.google.com/dlpage/gaoptout.
Advertising
We advertise our practice on Meta platforms (Facebook and Instagram), Google Search and Display, and other advertising platforms. We use the Meta Pixel and Google Ads conversion tracking to measure whether an advertisement led someone to contact us, and to show our ads to people who have visited the Site.
Our ads are targeted using general criteria such as geographic area, age range, language, and broad interests. We do not upload client lists or client contact information to any advertising platform, and we do not build advertising audiences from client records. We do not target advertising based on any person’s health condition, diagnosis, or treatment status, and we do not send your name, email address, phone number, or anything you tell us about your situation to an advertising platform.
To be clear about the limits of that: if you visit our website the way any visitor would, advertising platforms receive an event indicating that someone visited a page, along with the technical identifiers described in Section 1, and you may later see our ads. That happens because a public page was visited, not because you are a client — we have no way to tell those visitors apart. You can opt out using the controls below.
Browser and platform controls
- Most browsers accept cookies by default. You can change your browser settings to remove cookies or refuse them before they are placed. Some features of the Site may not work as intended if you do.
- You can adjust ad targeting in your Facebook or Instagram account settings.
- The Digital Advertising Alliance offers an industry opt-out tool at https://optout.aboutads.info.
- We honor the Global Privacy Control (GPC) browser signal as a valid opt-out of targeted advertising and of any sale or sharing of personal data.
- You can always skip the website entirely and call us at 720-915-2485. Nothing on this Site is required in order to become a client.
“Sale” or “sharing” under state law
To the extent that our use of advertising or analytics tools qualifies as “sharing” or “sale” of personal information under applicable state privacy law, you can opt out as described in Section 11.
6. How Long We Keep Your Information
We keep your personal information only as long as we need it for the purposes described in this Policy and to meet our legal obligations. In general:
- Inquiry and consultation-request information from people who do not become clients is kept for twenty-four (24) months from last contact.
- Text-messaging opt-in and consent records are kept while you remain subscribed and for at least twenty-four (24) months afterward, to demonstrate compliance with messaging regulations.
- Marketing-list information is kept until you unsubscribe or ask us to delete it.
- Site analytics data is kept according to the retention settings of our analytics provider, currently fourteen (14) months.
- Client clinical records are retained in accordance with Colorado law and applicable board rules — generally seven (7) years after termination of services or the date of last contact, whichever is later. For clients who were minors, records are retained for seven (7) years after the last day of treatment or until the client reaches age eighteen, whichever is later, and in no event longer than twelve (12) years. These records are held in our client records system and are governed by our Notice of Privacy Practices, not by this Policy.
- Billing and financial records are kept as required by tax and accounting obligations, generally seven (7) years.
When we no longer have a legitimate business or legal reason to keep information, we delete or anonymize it.
7. How We Protect Your Information
We take reasonable steps to safeguard the personal information we collect, including limiting access to staff who need it, using established service providers with their own security programs, and maintaining business associate agreements with the vendors that handle protected health information.
No internet transmission or storage system is completely secure, and we cannot guarantee absolute security. Email and text message in particular are not secure channels — please do not use them for anything you would not want read by someone else. If you need to send us something sensitive, ask and we will provide a secure method. If we ever become aware of a security incident affecting your personal information, we will notify you as required by applicable law.
8. Information From Minors
The Site and its forms are intended for adults at least 18 years of age. We do not knowingly collect personal information through the Site from anyone under 18. If you believe a minor has provided personal information to us through the Site, please contact us at privacy@reformationcounselingcenter.com and we will take reasonable steps to delete it.
We do provide counseling to adolescents and children. Those services are arranged by contacting us directly, usually through a parent or legal guardian — though Colorado law allows a minor aged twelve or older to consent to their own outpatient psychotherapy in defined circumstances. How confidentiality works for a minor client, and how much a parent or guardian can access, depends on who consented to treatment and on the clinical situation. Your counselor will explain this at the outset of treatment.
9. Your Privacy Rights
Depending on where you live, applicable privacy law may give you the right to:
- Access the personal information we hold about you and learn how we have processed it.
- Correct inaccurate or outdated information.
- Delete the personal information we hold about you, subject to legal exceptions and to the record-retention rules that apply to clinical records.
- Obtain a copy of the personal information you provided to us, in a portable format.
- Withdraw consent to processing that is based on your consent.
- Opt out of targeted advertising, “sales” of personal information, or profiling with legal or similarly significant effects, where applicable.
To exercise any of these rights, contact us at privacy@reformationcounselingcenter.com or 720-915-2485. We may need to verify your identity before fulfilling your request — usually we can do this using information you already provided, but in some cases we may need additional details.
You also have the right not to be discriminated against for exercising your privacy rights. Exercising them will never affect your care.
If you are a client of the practice, you have additional and stronger rights over your health information under HIPAA — including the right to inspect and copy your record, to request an amendment, to request restrictions, to request confidential communications, and to receive an accounting of certain disclosures. Those rights are described in the Notice of Privacy Practices you receive at onboarding, and requests should go to privacy@reformationcounselingcenter.com.
10. Do-Not-Track Signals
Some browsers and mobile operating systems offer a “Do Not Track” (DNT) signal that lets you indicate your tracking preference. Because there is no widely adopted industry or legal standard for honoring DNT signals, we do not currently respond to them. We do honor the Global Privacy Control (GPC) signal, as described in Section 5. If a recognized DNT standard is adopted that we are required to follow, we will update this Policy.
11. Specific Rights for U.S. Residents
If you are a resident of Colorado or another state with a comprehensive privacy law — including California, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia — you have the rights described in Section 9 above, subject to the limits and exceptions in your state’s law.
Note that information protected by HIPAA and information held in a clinical record are generally exempt from these state privacy laws. Those records carry the stronger HIPAA protections instead, so nothing falls through the gap.

Sale and sharing
We do not sell personal information for monetary consideration, and we have not done so in the past twelve (12) months. To the extent our use of website analytics or advertising tools qualifies as “sharing” under California law or as “targeted advertising” under other state laws, you can opt out by emailing privacy@reformationcounselingcenter.com, by using the browser-level tools described in Section 5, or by transmitting a Global Privacy Control signal.
How to exercise your rights
Email privacy@reformationcounselingcenter.com or call 720-915-2485. If you submit a request through an authorized agent, the agent must provide written and signed authorization from you, and we may still need to verify your identity directly. We will respond within forty-five (45) days, extendable once by another forty-five (45) days where reasonably necessary.
Appeals
If we decline to act on your request, you may appeal by emailing privacy@reformationcounselingcenter.com. We will respond in writing with our decision and the reasons for it. If your appeal is denied, you may submit a complaint to your state attorney general. Colorado residents may contact the Colorado Attorney General’s Office.
California “Shine the Light”
California Civil Code Section 1798.83 allows California residents to request, once per year, information about personal information (if any) we shared with third parties for those parties’ direct marketing during the prior calendar year. We do not share personal information with third parties for their direct marketing. If you have questions, contact us using the details in Section 13.
12. Updates to This Policy
We may update this Policy from time to time. The “Last updated” date at the top will reflect any changes. If we make material changes, we may notify you by posting a notice on the Site or by contacting you directly. Please review this Policy periodically.
